Title: Vendor Operations
Location: New York City, NY (In-office, 5 days a week)
Salary: 150k to 210k Base
Role Overview: Currently working with a leading fund that is looking for a highly organized and detail-oriented Vendor Operations Specialist to join their team. This role involves close collaboration with various departments to manage and maintain vendor relationships, ensuring seamless operations and compliance. This individual should have experience working within a client facing fashion, negotiating contracts, and developing/implementing new operational policies. The role will report into the head of broker relations.
Key Responsibilities:
- Collaborate with Broker Relations, Data Science, Compliance, Legal, and Accounting/CFO teams to onboard new providers and maintain existing relationships.
- Develop and maintain a workflow approval system for firmwide vendors, transitioning from JIRA to StavTar, managing over 200 vendor relationships.
- Work closely with investment professionals to manage entitlements and individual licenses with external providers.
- Communicate changes in the vendor list both internally and externally, ensuring high-value resources are understood and utilized effectively.
- Approve expenses in StavTar (StavPay) and coordinate with accounting to ensure timely payments.
- Request semi-annual research provider payments in partnership with Broker Relations.
- Analyze corporate access consumption in relation to resource payments.
- Attend and document broker, vendor, and resource provider meetings, disseminating notes and follow-ups.
- Negotiate pricing with vendors, resource providers, and brokers.
Qualifications:
- 5+ years working within Vendor Services Operations or equivalent space
- 2+ years of experience working at a hedge fund, asset manager, investment firm, or similar firm
- Strong communication skills with the ability to convey information effectively.
- High degree of urgency and ability to manage multiple tasks simultaneously.
- Advanced Excel skills, including V/H Lookups, pivot tables, and data queries.
- Exceptional organizational skills and attention to detail.
