Director of Administration/Operations

We're partnered with a boutique Investment Bank in Colorado as they look to hire a Director of Administration/Operations who will report into the company's CEO.

Job Description

  • Make the firm more efficient, productive and profitable
  • Lead all operational and administrative functions of the company, including:
    1. Accounting and Finance - lead management of accounting and reporting with outside accounting firm; insure accurate and timely financial reporting; lead financial modeling for firm
    2. Accounts Payable and Receivable - lead all cash payments and collections; insure accurate and timely processing and payment of all AP (including payroll and expense reports) and AR (monthly work fees and deal success fees)
    3. Firm Meetings and Events - lead the planning of team and client events, including team meetings (2x per year), client meetings, etc.
    4. Human Resources (HR) - lead all HR functions, including compliance with state requirements, recruiting, onboarding and offboarding, employee evaluations, employee handbook, and other critical HR functions.
    5. Information Technology (IT) - lead relationship with outside IT services provider to that the firm has safe and reliable IT services
    6. Insurance - lead relationships with insurance brokers to provide for proper insurance coverage
    7. Legal & Compliance - lead all legal function, including employment, firm contract review (IT, real estate, events, other), litigation, and other critical legal issues. Ensure all business state licenses are current and maintained
    8. Strategic Planning - lead strategic planning activities in conjunction with senior leadership
    9. General Executive Support - provide CEO and Chairman with whatever support is required to make them more efficient and productive.

Skills/Qualifications

  • Contribute to the overall firm culture, strategy, growth, and forward momentum with a "Can Do" attitude
  • Exhibit and live by integrity and honesty
  • Be available as needed to support the firm; this could include times outside of "normal" working hours (including evenings and weekends)
  • Ability to successfully execute any task and humility to accept any task
  • Alignment with CEO and Chairman on key strategic priorities and management philosophies
  • Willingness and ability to engage in thoughtful debate and then execute on the team's final decision
  • Ability to multi-task with strong organization skills and attention to detail
  • Strong oral and written communication skills
  • Management background with 5+ years of relevant experience in deadline-driven, fast-paced professional service environment
  • Strong proficiency and technical skills in Microsoft Office (Excel, Word, Power Point, Teams)
